Now that you’re signed up for the adventure of a lifetime, let’s take care of some of the housekeeping items to ensure you are set up for a smooth and successful trip!

Payment Timeline for WA Trips

  • Deposit ($1,000 for most programs) due when the application is submitted
  • Final Payment Due: 4/1/2024
  • For families who apply between 4/1/2024 – 5/1/2024, Final Payment Due: within 2 weeks of application submission. 
  • For families who apply after 5/1/2024, Final Payment is Due: immediately

 

Refunds, Cancellations, and More!

Deposits are non-refundable after 12/1/2023.

All deposit payments made after 12/1/2023 are non-refundable for any reason.

All final payments made according to the schedule above are non-refundable for any reason.


 

Protecting Your Investment

As WA is committed to supporting families to protect your investment we highly recommend you  consider Travel Insurance. WA has partnered with TravMark Insurance for the 2024 season to make this easier than ever!  Please carefully review the TravMark Insurance information to make the right decision for your family. Note that you are NOT eligible to purchase the TravMark insurance after you have paid the final balance to WA. So you must consider this option before the final payment deadline (April 1, 2024). 

Should you decide to not purchase trip insurance, please know there will be no refund nor credit given, nor will your trip be transferable to another year if you cancel your trip. Please understand there will be no exceptions to our policy.


 

Deposits

Most programs are WA require a $1,000 deposit but there are some exceptions.

WA Programs, with the exception of Snapshots (programs shorter than 1 week): $1,000

WA Snapshots (programs shorter than 1 week): $250

WA Leadership Institute Gap Semester Programs: $750


 

Paying your Balance

There are several ways to pay your balance. Note that balances not paid in full by April 1, 2024 will be autocharged with your payment method on file. 

PAY BY eCHECK (preferred method)

Pay by eCheck. Login to your CampInTouch account. Select Financial Management and make a payment. No fee will be assessed if you pay by eCheck. 

PAY BY DEBIT OR CREDIT CARD

Login to your CampInTouch account. Select Financial Management and make a payment. Note that a 3% fee is added to any credit card payment. Avoid this fee by paying with a debit card or eCheck. 

CALL/EMAIL TO PAY

Perhaps the easiest method of all, just give us a call or shoot us an email and we can charge your payment method on file! 

PAY BY PHYSICAL CHECK

If you prefer to send in a physical check to the WA office, please be sure to select the correct address below. We are based in Jackson Hole, Wyoming which is a small town without mail delivery via USPS (PO Boxes are used instead). If you send the check via UPS or FedEx our PO Box will not work and a physical address is required.

AUTO-CHARGE AFTER APRIL 1

Our team will auto-charge accounts that are not paid in full after the April 1, 2024 deadline. Due to the restrictions this puts on your Travel Insurance options, we try to avoid this, but do need to move forward with auto-charging after the April 1, 2024 deadline.
